The Fence Company That Handles Your HOA Approval

Getting a fence, deck or pergola approved by your HOA’s architectural control committee (ACC) is often the slowest part of the project, and it’s where Sagamore Fence & Deck does some of its best work. Customers send us their HOA guidelines all the time. We read them for you, design the project so it fully complies, prepare everything the committee needs to see and navigate the whole approval process from start to finish.

We know ACC and architectural review guidelines in and out, and we go further than most fence companies. When it helps your application, we attend committee meetings, HOA and MUD board meetings and city council meetings and speak on your behalf. When a project needs neighbor notice, we’ll even go door to door leaving flyers.

In Sun City Texas, and with any HOA that accepts applications from contractors, we submit the application for you. The only time the final click is yours is when your HOA uses an online portal that only the homeowner can log in to, since most HOAs and property management companies don’t allow sharing usernames and passwords. Then we hand you a complete, ready-to-submit packet and walk you through it. We also take care of the city permit wherever your city requires one.

Our HOA approval process

How We Get Your Fence or Deck Through HOA Review

READ

Send us your HOA guidelines, or tell us your HOA or management company. We read the design guidelines and ACC rules that apply to your lot: height, style, materials, stain or color, placement and setbacks.

DESIGN & PREPARE

We design the fence or deck to comply, then prepare the full application packet: the drawing, material and color details, a photo or drawing of the style, and a survey or plot plan marked up to show exactly where it goes.

SUBMIT & FOLLOW UP

In Sun City, and with any HOA that accepts contractor submissions, we submit it for you. If your HOA’s portal is homeowner-only, you click submit and we walk you through it. If the committee has questions or asks for changes, we answer them and revise the plans.

MEET & BUILD

When it helps, we attend the ACC or HOA board meeting and speak for your project. Once it’s approved and any city permit is issued, we build exactly what was approved.

What We Handle and What You Handle

What Sagamore does:

  • Reads your HOA’s design guidelines and ACC requirements and checks the design against them
  • Designs the fence, deck or pergola to comply, including height, style, materials and stain or color
  • Prepares the complete application packet: drawings, material and color details, a photo or drawing of the style, and a survey or plot plan markup
  • Submits the application for you in Sun City Texas and with any HOA that accepts contractor submissions
  • Answers the committee’s questions and revises the plans if it asks for changes
  • Attends ACC meetings, HOA and MUD board meetings and city council meetings and speaks on your behalf when needed
  • Goes door to door with neighbor-notice flyers when a project calls for it
  • Prepares and submits your city permit when one is required
  • Builds exactly what was approved

What you do:

  • Send us your HOA guidelines, or tell us who manages your HOA
  • Review the packet, and click submit yourself only if your HOA’s online portal is homeowner-only
  • Forward us any reply from the committee so we can respond

Board Meetings, Neighbors and Strict Committees

Some approvals take more than a form. A committee may want to hear from someone who knows the project, a board may need to vote, or neighbors may need notice first. That’s where we step in. We go to ACC meetings, HOA and MUD board meetings and city council meetings with you or for you, explain the design and answer questions on the spot. When notice is needed, we’ll go door to door leaving flyers so neighbors know what’s planned.

HOA Approval Across Georgetown, Austin and Central Texas

We’re based at 6550 FM 1105 in Georgetown and handle HOA and ACC reviews throughout our service area, along with the city rules that sit on top of them. A few examples:

  • Sun City Texas, Georgetown. Sun City’s Modifications Committee has detailed Design Guidelines for fences, decks and pergolas. See Sun City fences, decks and permits.
  • Georgetown’s historic districts. Fences in Downtown and Old Town can need a Certificate of Appropriateness, and we present applications at the HARC public hearing. See historic district fence approval.
  • Round Rock. In neighborhoods like Teravista, Forest Creek and Behrens Ranch, the HOA is usually the main approval, since Round Rock doesn’t require a permit for a typical residential fence. See Round Rock.
  • Leander and Cedar Park. From Crystal Falls and Travisso to Cedar Park’s HOA neighborhoods, we design to the community’s guidelines and check the city’s fence rules. See Leander and Cedar Park.
  • Pflugerville, Hutto and Liberty Hill. These projects often need both an HOA approval and a city permit, and we prepare both. See Pflugerville, Hutto and Liberty Hill.
  • Austin and the west side. Including Austin, Westlake and Bee Cave, where HOA rules and city permits often overlap.

Most HOAs review more than fences. Trex decks, wood decks and pergolas usually go through the same architectural review, and we handle them the same way. Popular HOA-friendly fences include cedar privacy fences and ornamental iron. For an overview of typical rules, read common HOA requirements in Texas.

What We Need From You

Not much. We’ll ask you for:

  • Your HOA’s guidelines or design standards, if you have them. If you don’t, tell us your HOA or management company.
  • Your property survey or plat, if you have one. We mark it up to show the fence or deck location. If you don’t have a survey, we can coordinate a new one.
  • A few minutes to review the packet, and to click submit if your HOA’s portal is homeowner-only.
  • Any reply from the committee, forwarded to us so we can answer it.
  • A heads-up about any fence you share with a neighbor.

We take care of the rest: reading the guidelines, the design, the application packet, follow-up with the committee, meetings when they’re needed, the city permit and the build. More answers are on our FAQ page.

HOA & ACC Approval FAQs

Do you handle HOA approval for fences and decks?

Yes. We read your HOA’s guidelines, design your fence, deck or pergola to comply, prepare the complete application packet, answer the architectural committee’s questions and attend HOA or ACC meetings when it helps. In Sun City, and with any HOA that accepts contractor submissions, we submit it for you; you click submit only when your HOA’s online portal is homeowner-only.

Yes, in Sun City Texas and with any HOA that accepts contractor submissions. The exception is an HOA whose online portal only the homeowner can log in to, since most HOAs and property management companies don’t allow sharing usernames and passwords. In that case we prepare a complete, ready-to-submit packet and walk you through clicking submit.

It depends on the HOA, but a typical packet includes a drawing of the fence or deck, material and color details, a photo or drawing of the style, and a survey or plot plan marked up to show exactly where it will go. We put all of it together for you based on your HOA’s guidelines.

Yes. When a committee or board wants to discuss a project, we attend ACC meetings, HOA and MUD board meetings and city council meetings and speak on your behalf. When a project calls for neighbor notice, we’ll even go door to door leaving flyers.

We find out exactly what the committee wants changed, revise the design and the packet, and help you resubmit. No one can promise how a committee will rule, but a complete application that follows the guidelines from the start gives your project the best chance.

Often, yes. They’re separate approvals: your HOA reviews the design against its guidelines, and the city reviews it against city code. Some cities, like Round Rock and Cedar Park, don’t require a permit for a typical residential fence, while Georgetown and Pflugerville do. We prepare and submit the city permit for you when one is required.

It depends on your HOA’s review schedule and how complete the application is. HOA approval is often the longest wait in a fence project, so send us your guidelines early and we’ll build the design and the packet around them right after your consultation.

The HOA is your homeowners association. The ACC (architectural control committee) or ARC (architectural review committee) is the group that reviews exterior changes like fences, decks and pergolas against the community’s design guidelines. Different communities use different names, and we work with all of them.
